Learn about upcoming third-party “AI note-taker” application block

Starting Sept. 12, ϳԹ will block third-party “AI note-taker” applications across Zoom, Microsoft Teams and Google Meet—whether or not an individual user has previously enabled or invited these apps.
These services—such as Fireflies.ai, Read.ai and Fanthom.video—will be unavailable due to the following reasons:
- These services can auto-join meetings to record, transcribe, summarize, and generate notes;
- Once a user enables them, they often attempt to join future meetings by default—even when other attendees did not consent or the meeting contains sensitive topics;
- ϳԹ does not have enterprise contracts with these vendors;
- When they join a meeting, audio, video, chat, and related metadata can be transmitted to third parties outside the university’s systems and protections—creating data security, privacy and regulatory risks; and
- Their use violates university policy where sensitive or restricted information may be discussed.
Members of the ϳԹ community are encouraged to avoid using third-party note-takers if transcription, summaries or meeting notes are needed.
Instead, individuals will be able to use approved, built-in tools—such as Zoom AI Companion or native captioning and transcripts—which are covered under university contracts and will remain available.
